Add Team Members and Set Permissions

Team members receive their own login rather than sharing yours. Permissions are set per person, section by section, the same way Custom Views works.

Why not just share your login

Two reasons, both of which only matter on the day they matter. You cannot tell who did what, and you cannot take access away when somebody leaves without changing your own password and locking yourself out of everything else.

Adding somebody

Name, email, and a password they can change. Then permissions, which are laid out the same way Custom Views is, so the list reads like the menu you already know.

Database and Accounting are set separately, and that separation is the useful part. Somebody doing outreach has no business in the ledger, and somebody doing the books does not need the Campaign tools.

Each person also gets their own Fast Menu, because their day is not your day.

Tips

Start narrow. Give somebody what they need this week. Widening it later takes a moment; discovering they could see everything does not.

One login per person, never one per role. Two people sharing "the bookkeeper login" puts you back where you started.

Turn the login off rather than deleting it when somebody leaves, so their history stays readable.

Common questions

Does a sub-user cost extra?

That depends on your plan. The Plan Usage board on your dashboard shows how many you have and how many you are entitled to.

Can a sub-user add their own sub-users?

No. Only the main account holder manages logins.

Can I change what somebody sees later?

Yes, at any time, and it takes effect the next time they load a page.

If somebody else works on this with you, they need their own login. Not yours. A shared login means you cannot tell who did what, and you cannot take access away when somebody leaves. User Settings, Sub Users. This is everyone who can get in. Add one, and it is the ordinary details. Name, email, a password they can change.

Then the part that matters. Permissions, laid out the same way Custom Views is, so it reads like the menu you already know. Database, and what they may see of it. Accounting, separately. Somebody doing outreach has no business in the ledger, and somebody doing the books does not need the Campaign tools. And their own Fast Menu, because their day is not your day.

Save, and they are on the list. None of it is permanent. Change what somebody can reach whenever the work changes, and turn the login off the day they stop working with you.
