Rename Anything - Custom Labels

Not everybody calls a Client a Client. Rename a field once and it changes everywhere it appears - nothing underneath moves.

What this covers

Renaming the words the program uses so the screens read in your own language. Six kinds of label, each on its own tab under User Settings → Database & Environment → Custom Labels & Views → Custom Labels.

The six tabs

Custom Field Labels name your own spare fields. These are the ones you invent: Referred From, Tax Prep Client, Type of Business. Whatever you name here appears on the Custom tab of every record.

Note Labels name the three Note boxes, and carry one extra switch. Show on Main Tab decides whether a Note is important enough to sit on the front page of the record rather than being one click away on the Notes tab. Use it for the Note you read every time you open somebody.

Phone Labels name each number, and Text Enabled does real work: it tells the program which numbers can receive an SMS, so a campaign does not text a landline.

Email, Website and Social Site Labels name the rest. On social, Messenger Enabled marks the accounts you can actually message through.

Tips

Nothing underneath changes. You are renaming the words on the screen. No data moves, nothing needs redoing, and you can change your mind as often as you like.

Do it early. Reading your own vocabulary from day one makes everything else easier to learn.

Rename for the person using it, not for the database. If your team says "member", the screen should say Member.

Common questions

Does renaming break my reports?

No. Reports read the same underlying fields; only the heading changes with them.

Can each sub-user have their own labels?

No, labels are set for the account, so everybody sees the same words. What differs per person is which screens they can reach, which is Sub Users.

What happens to a field I do not name?

It keeps its default, like Custom Field 4, and it is perfectly safe to leave the ones you are not using.

The program calls things what it calls them. That does not have to be what you call them. User Settings, Database and Environment, Custom Labels and Views, Custom Labels. Six tabs across the top. Start with Custom Field Labels. These are your own fields, and you name them. Referred From. Tax Prep Client. Type of Noodle Business.

And here they are on the record itself, on the Custom tab. Your words, not ours. Note Labels are the same idea with one extra switch. General Notes, Prospecting Notes, Personal Notes. And Show on Main Tab decides whether each one is worth putting on the front page of the record. Turned on, they sit right there on the Main tab, beside the name.

And the Notes tab carries the same three headings. Phone Labels name each number. Home, cell, and whose it is. Text Enabled is the one that does something. It tells the program which of these numbers can actually receive a text. Email Labels, four of them, two people.

Website Labels. And Social Site Labels, where Messenger Enabled marks the ones you can actually message through. Nothing underneath changes. No data moves and nothing needs redoing. You are renaming the words on the screen, and the screens start reading like yours.
